The EORTC Radiation Oncology Group (ROG) recommends to its members, the services of the Radiological Physics Center (RPC) at the MD Anderson Cancer Center, Houston, Texas, for the organization of external monitoring of dosimetry of photon and/or electron beams.

The following minimum audit is required:

a)  2 photon beams (lowest and highest photon energy, if more than one energy)

b)  2 electron beams (lowest and highest electron energy) not necessarily on the same machine

The RPC’s fee for the TLD/OSLD service will be US$ 275 for the first beam measured at an institution, and US$ 75 for each additional beam measured (either photon or electron) during the same TLD shipment.

Therefore, the fee for an institution wishing to measure 3 photon beams and 3 electron beams will be US$ 275 + (5 x US$ 75) = US$ 650.  Appropriately sized TLD/OSLD blocks will be provided for each photon energy, and blocks with TLD/OSLD at depths corresponding approximately to d-max and d-80 will be provided for each electron energy to allow an estimate of percent depth dose.

Note that the RPC’s fee includes the cost of shipping round-trip plus customs duties and handling charges.

Centres are asked to contact the RPC directly (see below) and they will be invoiced directly by the RPC, payment to be made by the centre to the RPC.

Response time for shipment:

TLD/OSLDs will be shipped within 1 working day after receipt of a request.

Response time for reporting:

The RPC customarily reads TLD/OSLD 10 – 14 days after irradiation.  This delay is imposed to avoid reading soon after irradiation, when the response of the TLD decays fairly rapidly.  Once the TLD/OSLD can be read, the evaluation and review process takes 7 – 8 days.  Therefore, reports are generally sent to the institution approximately 17 – 22 days after irradiation.

Reports are sent as PDF files attached to emails, so delivery is very quick.  An example of a report (with an example of the cover letter reporting a discrepancy) can be viewed here.  Results are provided to the monitored institution directly.

Instructions:

Those wishing to request an audit:

  1. First, please go to the RPC website at http://rpc.mdanderson.org/rpc

  2. From the left hand margin, choose “Forms”, then choose the “New Participant Demographics Form”

  3. Complete and submit this form on-line and the RPC will add your institution to the TLD/OSLD program.

  4. Contact Bryan Stewart at rpc@mdandereson.org to request an audit (tel. +1 713.745.8989)

  5. Include in your e-mail subject line: “TLD/OSLD program”
